JOB DESCRIPTION SECRETARY DIRECTION :

   1.
      Prepare and manage correspondence, report and documents.
   2.
      Organize and coordinate meetings, conferences.
   3.
      Take, type and distribute minutes of meetings.
   4.
      Maintain schedules and calendars.
   5.
      Implement and maintain office systems.
   6.
      Arrange and confirm appointments.
   7.
      Organize internal and external events.
   8.
      Handle incoming mail and other material.
   9.
      Set-up and maintain filling systems.
  10.
      Ser-up work procedures.
  11.
      Collect information & searching information.
  12.
      Maintain data base.
  13.
      Communicate verbally and in writing to answer inquires and provide information.
  14.
      Liason with internal and external contacts.
  15.
      Coordinate the flow of information both internally and externally.
  16.
      Operate office equipment.
  17.
      Manage office space.

 

GENERAL REQUIREMENTS :

   1.
      Female, interesting appearance, age max 25 year.
   2.
      Graduate from reputable university.
   3.
      Should have min 2 years experience in similar position.
   4.
      Relevant training or qualification
   5.
      Knowledge and experience of relevant software applications spreadsheets word processing and database management.
   6.
      Knowledge of administrative and clerical procedures.
   7.
      Knowledge of business principles.
   8.
      Proficient in spelling, punctuation, grammar and English leanguge skills.
   9.
      Proven experience of producing correspondence and documents.
  10.
      Proven experience in information communication management.
  11.
      Required typing speed.
